But most of the time, the tool isn't the problem. The process underneath it is. Work lives in people's heads. There's no clear system for how enquiries get handled. Decisions depend on whoever's available. Software gets bought, half-configured, and quietly ignored.

02 Build the right system

The solution comes from the problem. Not the other way around.

For one business that might mean recovering three hours of manual admin nobody should be doing. For another it's a system that means enquiries never fall through the gap again. For another it's making sure the right information is visible to the right person at the right time. We don't have a favourite tool. We have a process for finding the right one.

03 Make it stick

A system nobody uses is just an expense.

Most automation fails at adoption, not at build. We stay involved after deployment, making sure the team understands what's changed, adjusting where needed, and ensuring the system actually reduces pressure rather than adding to it.

On voice AI

Voice AI is one solution. Not the solution.

For some service businesses, the phone is everything. Inbound calls drive revenue. Missing them, or responding too slowly, costs real money. A voice AI agent that answers immediately, handles the enquiry, captures the lead, and notifies the team can be a genuine competitive advantage.
